Terms & Conditions
We want your event to be successful, and to accomplish this we must both have a clear grasp of what to expect. We meticulously plan for your event based on our discussions and emails. Without these discussions prior to the event we cannot be held liable if your event does not proceed as planned.
To confirm your booking with Pizzettaro, either a deposit or the full invoice amount must be paid. By making this payment, you are agreeing to the terms and conditions specified below. Pizzettaro will use text or email to communicate, ensuring that all correspondence is documented for reference.
At our discretion, we reserve the right to update these terms and conditions at all times. It is essential that you read these again before your event.
TERMS: The name on the booking and the names on their behalf are referred to as the "Client".
AVAILABILITY: We will inform you verbally or in writing of the availability of your selected date. Sending a proposal doesn't reserve a spot or ensure a particular date.
CONFIRMATION AND DEPOSIT: It is at the discretion of Pizzettaro to offer a 'no deposit' booking to clients. The online Booking Enquiry Form (BEF) is not a confirmation of your booking.
A non refundable $300 deposit is required for bookings made more than 30 days prior to the event date. The remaining balance is due 30 days prior the date of event. Once we receive your deposit payment, your booking is confirmed.
Note: Full payment is required for bookings made within 30 days of the event date.
If the event is canceled for any reason other than Pizzettaro's fault, the non-refundable payment will be retained by Pizzettaro. "Circumstances" include situations such as illness, inclement weather, venue issues, or unforeseen events. Pizzettaro reserves the right to return any payments made in excess of the specified deposit.
CANCELLATION ON THE DAY: The client is responsible for the entire cost of the event and may choose to reschedule it in accordance with Pizzettaro's availability. If the event is cancelled on the day for any reason, including a Bureau of Meteorology warning for catastrophic weather events or any other unpredictable events, any money that we receive is kept by us.
WEATHER & FIRE: Pizzettaro can serve food in light wind (max wind speed 25km/h) or light rain weather conditions, but not when they are combined or if one of them exceeds those parameters. The client shall provide a "plan B" offering a covered space such as a ventilated carport or garage or a shed with a minimum internal hight of 3 meters where Pizzettaro's marquee and oven/trailer can go and the groud surface must be reasonably flat (see minimum layout dimensions below). The client is responsible for the entire cost of the event, in case the client cancels the day due to bad weather, even though Pizzettaro could have still provided catering. In the event of bad weather forecast, the customer is required to communicate it as soon as possible and to ensure the safety of Pizzettaro staff. This includes providing adequate cover or shelter (plan B), providing water and allowing extra time so the client can take additional breaks during the party time.
DURING FIRE SEASON: We take fire risk reduction and safety measures very seriously. Our RFS-issued fire ban permit comes with stringent guidelines for compliance. In order to prevent a fire from starting during the event, the client consents to help Pizzettaro follow all rules. To reduce the risk, we won't serve food in parks or reserves during severe fire season and we check the fire danger ratings on the RFS website ( https://www.rfs.nsw.gov.au/fire-information/fdr-and-tobans ) prior commencing of the event. The client must provide a safe alternative venue away from flammable vegetation or combustible materials on days of increased fire risk or total fire bans, with a hose linked to a functional tap placed adjacent to our equipment for easy access. The event may be cancelled without prior notice if these are not available when Pizzettaro arrives to the venue. Due to a limited amount of water, the event may be cancelled at any time. Upon request, a copy of the RFS compliance paperwork will be given.
Pizzettaro will be released from this agreement without penalty in the event of cancellation owing to non-compliance with the aforementioned obligations and the client will forfeit any money received.
FOOD QUANTITY: We offer the client our All-You-Can-Eat Pizza service (AYCEP), within acceptable limits (it's not unlimited). We prepare enough pizzas for all the attendees to eat till they are satisfied, with a few pizzas leftover as a gift. We know roughly how many pizzas will be required to feed guests and have limited arrangements for extras. If we see guests are not eating anymore from the main table, or if there are few minutes left till end of cooking time, we will proceed to the last course or finish the service.
SERVICE STYLE: The quote you received is for a self-serve "buffet" format, in which guests assist themselves from a main table. This is how hand-made pizza tastes best. Please contact us in advance so that we may make alternative arrangements if you prefer a different format, such as bar (tapas style) or dining (on stand plates to share). Price On Application applies.
-PLEASE NOTE-: Guests from the event are not allowed to place individual orders or customise pizzas, nor Pizzettaro can serve individual tables unless requested by the client (see above). This makes it harder for the event to go well, slows down the service, restricts the options, and increases the chance that some pizza varieties may run out. Pizzettaro disclaims all liability if you select a different service format than the buffet-style and don't notify us in advance.
DESSERT: We cannot return to the main course once we begin the dessert. To make sure your guests are satisfied, we will come over to ask the client if they are ready before moving to the dessert or, as explained above, Pizzettaro will commence a few minutes before cooking time is up.
LAYOUTS & EQUIPMENT SIZE
Dimensions & Weights: 2t Car 4.2x2m - 2t Trailer 4x2m - Gazebo: 3x3m - 50kg including tables and equipment (frontage needs at least an extra linear metre for guests to access food on main table)
It is the client's obligation to ensure that we have access to electricity and water, and that the venue can accommodate the size and weight of our equipment. During the quotation stage the client must provide the location address that can be verified on Google Street View map to check if the catering space is available as per layout options and advise of any issues including bad road conditions, driveways and catering space option/s, providing those details via email with the support of sufficient photos/videos.

Alternatively, we visit the locations before the event, organising an appointment with us for an onsite inspection before the booking confirmation would be appreciated.
Pizzettaro reserves the right to cancel the catering service on the same day and charge the client for any damage costs to our equipment/gear impacted by the client's property and structures. Pizzettaro will not take any responsibilities with any bookings confirmed by the client without providing any of the above requirements. If we are not able to fit or reach the venue because of the above, we may cancel the event without any refunds. The client agrees to cover the cost of towing in the event that our vehicle becomes stuck while on property.
It is the client's duty to ensure the venue can accommodate the size and weight of our equipment. The weights and measurements of our setup are listed in the LAYOUTS section above. Please feel free to ask any questions and to supply the necessary information. In the event that we are unable to fit in the location, your event will be cancelled without any refunds.
Our pizza oven is mounted on a dual axle trailer towed by a vehicle with a standard height from ground and it cannot travel offroad or on a similar rough and uneven ground conditions (it's not a 4WD/SUV/UTE). We serve our customers from the front of the property or driveways and from the backyard only if a large vehicle can have access to it. Given that we use a wood fire, we need a room with good ventilation because we unable to cook inside unless the ceiling is between 3 and 4 meters high and the area is well ventilated.
If electricity is not available, we may supply a generator for an extra $50. We may also ask to use the outside tap for rinsing and hygiene.
VENUE COMPLIANCE: It is the client's obligation to confirm that we have permission to serve food at that location. The client must make all arrangements for security, after-hours access, and any other permissions. If any compliance insurances or other paperwork are required for the venue, we require at least two weeks notice of your event to provide said documents.
If Pizzettaro is unable to set up when arriving at the location due to the client's failure to the agreed arrangements,
event cancellation may apply.
SERVICE SET-UP TIME: We will arrive 1 or 2 hours in advance of the event starting time. (e.g, if you wish to serve dinner at 7pm, we will arrive between 5 and 6pm). Packup time is usually 30 minutes after the agreed serving time (avg 2 hours).
PERSONNEL: The package includes one or two chefs and Pizzettaro decides how many to assign. We will deliver the pizzas to a main table, usually in front of our marquee, as part of the service or within reasonable range from our kitchen. Helpers from within the client's guests are always appreciated to serve pizzas, however isn't a requirement, as it speeds up the serving process (POA if you need them from us).
BEHAVIOUR: We will not allow any form of abuse, swearing, harsh or unreasonable requests, or extreme rage directed towards our staff including if intoxicated. Should these behaviours persist, we will terminate our service on the spot and the customer will be responsible for any damages or harm received to Pizzettaro's team.
Clients and pets are not permitted to enter the kitchen area and enter the vicinity of the trailer for insurance and safety reasons.
DAMAGES AND COMPENSATION: Any location that the client and Pizzettaro reserve together, including any structures, furnishings, fittings, and equipment that are damaged or lost during the client's events, will be the client's responsibility to fix.
Any reserved venue used and occupied by the client is at risk to their health and safety.
The client agrees to indemnify Pizzettaro against any actions, lawsuits, claims, demands, costs, and expenses of any kind that may arise or be incurred due to harm or damage to any person or property during the use of any venue.
CLEANING: Pizzettaro will clear and clean the catering space of all of our equipment, but don't offer extra cleaning services outside our scope.
There will be one bag of waste, and we might ask the client to use their venue's garbage bin for disposal.
SPECIAL DIETARY AND ALLERGEN: All visitors with allergies consume our items at their own risk, as we are not allergen-free certified but we use a gluten free base from a certified bakery. Note that guests with severe gluten allergy will have their food cooked before the food containing gluten to avoid cross contamination as much as possible. In the event of an allergic reaction, the client releases Pizzettaro from all liability. GF guests are charged extra $15 pp.
CHANGES TO OUR TERMS AND CONDITIONS:
Pizzettaro holds the right to update or modify the terms and conditions listed above at any time.
