Terms & Conditions
We want your event to be successful and to accomplish this we must both have a clear grasp of what to expect. We meticulously plan for your event based on our discussions and emails, without these discussions prior to the event we cannot be held liable if your event does not proceed as planned.
Once a deposit (or full amount) has been made or confirmation in writing received – it is taken as acceptance of the below terms and conditions. Pizzettaro will communicate via text or email to ensure a record of all communication for reference.
At our discretion, we reserve the right to update these terms and conditions. It is essential that you read these again before your event.
TERMS: The name on the reservation and the names of their behalf are referred to as the "Client".
AVAILABILITY: We shall inform you verbally or in writing of the availability of your selected date. Sending a proposal doesn't reserve a spot or ensure a particular date.
CONFIRMATION AND DEPOSIT: It is at the discretion of Pizzettaro to offer a 'no deposit' booking to customers. The online Booking Enquiry form is not confirmation of your booking.
A non refundable 20% deposit is required for bookings made more than 30 days prior to the event date. The remaining balance is due 30 days prior the date of event. Once the deposit has been received your booking is confirmed. Full payment is required for bookings made within 30 days of the event date.
The non-refundable payment will remain Pizzettaro's property if the event is called off for any reason other than Pizzettaro's default. "Circumstances" can refer to death, bad or severe weather, venue malfunctions, or unknown intervention.
DEPOSITS RECEIVED: If a client cancels, we keep the deposit that was paid. This covers, but is not restricted to, causes like weather-related delays, venue problems, or grief. In the event of a cancellation, Pizzettaro reserves the right to return any payments made in excess of the specified deposit.
CANCELLATION ON THE DAY: The client is responsible for the entire cost of the event and may choose to reschedule it in accordance with Pizzettaro's availability, if the event is cancelled on the day for any reason, including a Bureau of Meteorology warning for catastrophic weather events or any other unpredictable event. This covers, but is not restricted to, circumstances like grief, problems with the location, bad weather where we could have provided our catering service and change of heart. Any money that we get is kept by us.
WEATHER & FIRE: Pizzettaro can serve food in mildly windy and rainy weather conditions. The client is responsible for the entire cost of the event if they cancel it on the day due to bad weather, even though we could have still provided catering. Should severe weather be forecast, the client is asked to account for and provide for the safety of Pizzettaro staff members. This could involve setting up enough shade, providing water, and giving yourself more time so you can take extra breaks.
DURING FIRE SEASON: We will not skimp on fire risk reduction measures because we take fire safety very seriously. Our RFS-issued fire ban permit comes with stringent guidelines for compliance. In order to prevent a fire from starting during the event, the client consents to help Pizzettaro follow all rules. To reduce the risk, we won't serve food in parks or reserves during severe fire season and we check the fire danger ratings on the RFS website https://www.rfs.nsw.gov.au/fire-information/fdr-and-tobans prior commencing of the event. The client shall provide a safe alternative venue away from flammable vegetation or combustible materials on days of increased fire risk or total fire bans, with a hose linked to a functional tap placed adjacent to our equipment for easy access. The event may be cancelled without prior notice if these are not available when we arrive. Since we only have a limited amount of water, the event may be cancelled at any time. Upon request, we may give you a copy of the RFS compliance paperwork.
Pizzettaro will be released from this agreement without penalty in the event of cancellation owing to non-compliance with the aforementioned obligations and the client will forfeit any monies received.
FOOD QUANTITY: We offer all-you-can-eat pizzas, within acceptable limits (it's not unlimited). We prepare enough pizzas for all the attendees to eat till they are satisfied, with a few pizzas leftover. We know roughly how many pizzas will be required to feed guests and have limited arrangements for extras. If we make more pizzas than is adequate, we reserve the decision to proceed to the following course or finish the service.
SERVICE STYLE: The quote you received is for a self-serve "buffet" format, in which guests assist themselves from a main table. This is how hand-made pizza tastes best. Please contact us in advance so that we may make alternative arrangements if you prefer a different format, such as bar or dining. -PLEASE NOTE-: Guests are not allowed to select their own pizzas, nor can we serve individual tables. This makes it harder for the event to go well, slows down the service, restricts the options, and increases the chance that some pizza varieties may run out. Pizzettaro disclaim all liability if you select a different service format than the buffet and don't notify us in advance.
DESSERT: We cannot return to the main course once we begin the dessert. To make sure your guests are satisfied, we will come over to you before moving on to dessert.
LAYOUTS & EQUIPMENT SIZE:
Dimensions & Weights Car 4.2x2m - 2t Trailer 4x2m - 2t Gazebo: 3x3m - 50kg including tables and equipment (frontage needs at least an extra metre for guests to access food on table)
It is the client's obligation to ensure that we have access to electricity and water, and that the venue can accommodate the size and weight of our equipment. During the quotation stage the client must provide the location address can be verified on Google Street View, check if the catering space is available as per layout options and advise of any issues including, bad road conditions, driveways and catering space option/s, providing those details via email with the support of sufficient photos/videos. Please feel free to ask any queries and supply the necessary information. In alternative, but in very rare cases, we visit the locations before the event, organising an appointment with us to come onsite for inspection possibly before the booking confirmation. Pizzettaro reserve the right to cancel the catering service on the same day and charge the client for any cost of damage to our equipment/gear impacted by the client's property and structures. Pizzettaro is not taking any responsibility with any bookings confirmed by the client without providing any or some of the above required details. If we are not able to fit or reach the venue because of the above, we may cancel the event without any refunds. The client agrees to cover the cost of towing in the event that our vehicle becomes stuck while on property.
EQUIPMENT, SET UP, COMMERCIAL VENUES
EQUIPMENT SIZE: It is the client's obligation to ensure that we have access to electricity and water, and that the venue can accommodate the size and weight of our equipment. The weights and measurements of our setup are listed in the LAYOUTS section above. Please feel free to ask any queries and supply the necessary information. In the event that we are unable to fit at the location, your service will be cancelled without any refunds. The customer agrees to cover the cost of towing in the event that our vehicle becomes stuck while on your property.
Our pizza oven is mounted on a dual axle trailer towed by a vehicle with a standard height from ground (it's not a 4WD/SUV/UTE). We serve our customers from the front of the property or driveways and from the backyard only if a large vehicle can have access to it. Given that we use a wood fire, we need a room with good ventilation because we can't cook inside unless the ceiling is really high.
The customer consents to give power access. Our equipment needs to be placed 20 metres away from a standard 230-volt power point. If electricity is not available, we may supply a generator for an extra $50. We also ask you to use the outside tap for rinsing and hygiene.
VENUE COMPLIANCE: It is the client's obligation to confirm that we have permission to serve food at that location. The client must make all arrangements for security, after-hours access, and permissions. If any compliance insurances or other paperwork are required for the venue, we require at least two weeks ahead of your event to provide such documents. If we can't set up when we get to the location, we might have to cancel, in which case the customer would be responsible and would lose any money that was paid.
SERVICE SET-UP TIME: We will arrive 2 hours in advance of your pizza service time. (For example, if you wish to serve dinner at 7pm, we will arrive between 5pm)
PERSONNEL: The package includes one or two chefs. We decide how many to assign. The chef will deliver the pizzas to a table as part of the service. Helper/s is always appreciated to carry the pizzas, as it speeds up the service.
BEHAVIOUR: We will not allow abuse, swearing, harsh or unreasonable requests, or extreme rage directed towards our staff. Should these behaviours persist, we will terminate our service and the customer will be responsible for any payments received. In the event that a client/guest is hurt within the preparation area, the client assumes full responsibility and indemnifies Pizzettaro of any damage or loss. Clients are free to approach the chef from the frontage to make requests, but they are not permitted to enter the area for insurance and safety reasons.
DAMAGES AND COMPENSATION: Pizzettaro and any venue reserved on the client's behalf will not be held responsible for any loss or damage incurred by the client or by any individual, business, or organisation that provides services to any client. Any location that the client and Pizzettaro reserve together, including any structures, furnishings, fittings, and equipment that are damaged or lost during the client's events, will be the client's responsibility to fix.
Any reserved venue is used and occupied by the customer at risk to themselves. By using this form, the client agrees to hold Pizzettaro indemnified from any actions, suits, proceedings, claims, demands, costs, and expenses of any kind that may be brought against Pizzettaro or incurred as a result of harm or damage to any person or property resulting from or during the use of any venue.
CLEANING: Pizzettaro will clear and clean the catering space of all of our equipment, but we don't offer cleaning service outside of that. We will have one tiny bag of waste when the service is over, and we might ask to use the venue's garbage bin for disposal.
SPECIAL DIETARY AND ALLERGEN: All visitors who have allergic reactions eat our items at their own risk as we are not allergen free certified. Those with special dietary needs should approach the chef to place their order for a personalised pizza and then wait by the oven until it is cooked, which takes around 5 minutes. As it slows serving time down, this is only advised for a small number of guests. All of our products may have traces of known allergens. We serve our meals at risk to those who react negatively to allergies. In the event of an allergic reaction, the client hereby releases Pizzettaro from all liability and undertakes to hold Pizzettaro indemnified against any actions, suits, proceedings, claims, demands, costs, and expenses of any kind that may be brought against Pizzettaro or incurred as a result of damage or injury to any individual. All our menus come with gluten-free bases option; Notice is required.
DISCLAIMER: A certified gluten-free bakery is where we get our bases from. It is inevitable that there would be flour residue on the appliances and oven, though. If any of the guests have serious reactions to gluten, please make other arrangements. GF guests are $15 pp.
CHANGES TO OUR TERMS AND CONDITIONS: Pizzettaro holds the right to update or modify the terms and conditions listed above at any time.
Latest T&C update: March 2024.
